Privacy Policy

How Inspection Viewer Inc. collects, uses, stores and protects personal information across our website, client portal and field inspection applications.

01 Who we are

Inspection Viewer Inc. operates this website, the client portal and the Inspection Master inspection platform. We are the controller of the personal information described in this policy.

02 Information we collect

We collect only what we need to quote, schedule, perform and deliver an inspection:

  • Contact details you submit — name, company, email address and telephone number.
  • Property information you provide — address, property type, size, unit count, year built, access instructions and site contact details.
  • Account information for portal users — name, email, designation and a securely hashed password.
  • Inspection records our engineers create — observations, conditions, severities, measurements, photographs and the GPS coordinates at which they were captured.
  • Technical data — IP address, browser user agent, and timestamps, recorded for security and abuse prevention.
  • Device registration data for offline synchronisation — a device identifier, platform, application version and sync timestamps.

We do not collect payment card numbers on this website. Card payments, where offered, are handled by a PCI-DSS compliant payment processor and we retain only a transaction reference.

03 How we use it

Personal information is used to respond to enquiries, prepare and issue proposals, schedule and perform inspections, produce and deliver reports, administer subscriptions and invoicing, provide support, and meet our legal, professional and insurance obligations.

We also use aggregated, de-identified data to improve inspection scope templates and to measure service performance. That analysis never identifies an individual.

We do not sell personal information. We do not share it with third parties for their own marketing purposes.

04 Legal bases and consent

Where the law requires a legal basis, we rely on: performance of a contract (delivering the inspection you engaged us for), legitimate interests (operating and securing our services, and responding to enquiries), consent (marketing communications, which you may withdraw at any time), and legal obligation (record retention, professional and regulatory requirements).

05 Who we share it with

We share personal information only where it is necessary:

  • With the client who engaged the inspection, and the portal users that client has authorised.
  • With accredited laboratories where a scope requires sample analysis (asbestos, lead, mould, radon, water).
  • With specialist subconsultants engaged on a specific scope, under written confidentiality obligations.
  • With our hosting, email and payment processing providers, acting on our instructions under contract.
  • Where compelled by law, subpoena, or a regulator, or where necessary to establish or defend a legal claim.

06 Retention

Inspection reports and their supporting evidence are retained for a minimum of seven years, and longer where a state professional licensing rule, an insurance requirement or an active dispute demands it. Enquiry and quote records that do not become engagements are retained for twenty-four months. Security logs are retained for twelve months.

07 Your rights

Depending on where you live, you may have the right to request access to the personal information we hold about you, to have it corrected, to request its deletion, to object to or restrict certain processing, to receive it in a portable format, and to withdraw consent for marketing.

California residents have additional rights under the CCPA/CPRA, including the right to know what categories of personal information we collect and the right not to receive discriminatory treatment for exercising those rights. We do not sell or share personal information as those terms are defined by the CPRA.

To exercise any right, email sales@inspectionviewer.com. We will verify your identity before acting and will respond within the timeframe the applicable law requires.

Note that where we hold an inspection record on behalf of a client, we will direct your request to that client where they are the controller of the record.

08 How we protect it

Security measures applied to this platform include:

  • Encryption in transit using TLS, with HTTP Strict Transport Security enforced.
  • Passwords stored using the bcrypt one-way hashing algorithm — never in recoverable form.
  • Encrypted session cookies, session rotation on authentication, and CSRF protection on every state-changing request.
  • A strict Content-Security-Policy, frame denial and MIME-sniffing protection on every response.
  • Parameterised database access throughout, which structurally prevents SQL injection.
  • Role-based access control, so staff only reach the records their department and role authorise.
  • An append-only audit log recording who did what, and when.
  • Rate limiting and automated abuse detection on all public and authentication endpoints.

No system is perfectly secure. If you believe your account or data has been compromised, contact support@inspectionviewer.com immediately.

09 Cookies

We use a minimal set of first-party cookies: a session cookie required to keep you signed in, a CSRF token cookie required to protect forms, and a small preference cookie storing your light or dark theme choice. We do not use third-party advertising or cross-site tracking cookies, and no data is sent to an external analytics provider from these pages.

10 Children

Our services are directed at businesses and property owners. We do not knowingly collect personal information from anyone under sixteen. If you believe a child has provided us information, contact us and we will delete it.

11 Changes to this policy

We will post any change on this page and update the date above. Material changes affecting how we use your information will additionally be notified to account holders by email.
